How can I create a company account?
You can easily create your company account, open the app, click “create a team”, add your company name, email, HR name, choose the country, Time Zone and password then press “sign up”. Afterward, you can set the company working days, the year starting month, Date format, add leave types then start adding employees. Your account is now ready!
How can I change my company’s default settings?
You can simply go to your company settings and add your leave types first, then your leave policy where you set each leave type earned balance. After that you can configure your location settings and balance reset.
How to configure the earned balance for each leave type?
To edit the earned balance of a leave type, go to the settings page, choose “Leave policy”, add a new policy or edit an existing policy, you will find the active leave types in the policy. Click the edit button of the required leave type, and you can edit the leave balance as well as enabling different leave settings such as restrictions, accruals and carryover rules.
How can I add employees?
From the employees section, click “ Add Employee”, enter the employee’s general inforamtion, select role, location, team, leave policy and approvers, and save. The employee will receive an invitation to join with thei username and temp password, and, you will get the same detailes to share with the employee.
Can there be more than one admin?
Yes, you can add multi admins for the company, From the employees section, will find Actions, click on the 3 dots, will find “Give admin permissions”.
How can I send an announcement to the whole team?
To send an announcement, go to the Announcements section, just type your message, and press “Broadcast”, you can choose who to send the announcement to, and you can send it to all the company or any team or location that exists in your company account.
How can I view the employees?
From the employees section you can view a list of the employees in the team.
How can I view an employee’s profile?
To view an employee’s profile, go to the employees’ list, press on the required employee’s name where their profile will be viewed. You can view the employee’s balance, team, pending requests and leaves history. You can also add days off on behalf of the employee, add comp. off, reset their password or delete them.
How can I edit a certain employee’s earned balance?
To edit an employee’s earned balance, go to the employees section, open the required employee’s profile and go to the “Balance” tab, then toggle the “Customize employee’s balance” button and edit the leave type balance in question.
How can I send an email or call a certain employee?
From the Employees section, you can call or send an email to a certain employee using the phone and message icons next to the employee’s name.
How can I delete an employee?
To delete an employee, open the employee’s profile and press delete employee on the upper right of the screen on the mobile version, or the “Delete Employee” button under the employee’s picture in the web version. You will be asked if you would like to delete all the employee’s associated data and leave requests or to keep them in the reports, also you can delete multiple employees by opening the Employees list, and selecting the required employees and you will find Delete from the bulk actions.
How can I add / delete the official holidays of location?
From the settings section, go to “locations and holidays”, the location should already be created then go to the official holidays tab, you can import your country’s official holidays from Google Calendar or add a holiday manually.
And whenever you want to delete any existing holiday press on the cross icon near the one you want to delete.
Can I set different working days for different employees?
In the Pro version, you can create different locations with different working days, and the employee’s working days are defined based on their assigned location.
How to add the new working year’s leave balance?
Leave balance of the new working year is set automatically at the beginning of the year.
How to delete a previously approved leave request?
Previously approved leave requests can be deleted only by the company admin. To delete a request just go to the employees’ profile and do the following:
•Android device: you can delete the request by long pressing on it then press the delete button.
•iOS device: you can delete by swiping the request to be deleted then press the delete button.
•Web Dashboard: press the delete button next to the required leave request.
How to edit a previously approved leave request?
Previously approved leave requests can be edited only by the company admin. To edit a request just go to the employee’s profile and do the following:
1. Go to the requests section inside the employee’s profile.
2. Click on the edit icon near the required request.
3. you will be able to edit the request’s leave type as well as the start and end date of the request
4. Finally, click on submit and the request will be edited successfully.

Can an employee be linked to multiple companies using one email?
An employee can be part of several companies with the same email, even in various roles. They can switch between these companies by clicking on their profile picture, which will display the different accounts available to them.

What is a leave policy?
A policy is where you can activate or deactivate and set earned balances of each leave type that are pre-set. You can also choose to allow half day, allow compensation, auto approve, require document, allow negative balance options and set accruals and carryovers.
How can I set up a new leave policy?
To set up a new leave policy in the Pro version, go to the leave policy settings in the company settings, then click on add new leave policy and choose to activate or deactivate your leave types, set their balances and you have options to allow half day, allow compensation, auto approve, require document, allow negative balance options and set accruals and carryovers.
Can I assign a custom leave policy for a specific employee?
You can give an employee a leave policy that you already have. Just go to their profile and click on the last part called “policy.” There, you can choose the leave policy you want to use. The app will show you how this will change the employee’s time off balance and you just need to confirm these changes.
How can I set up a new leave policy?
To set up a new leave policy in the Pro version, go to the leave policy settings in the company settings, then click on add new leave policy and choose to activate or deactivate your leave types, set their balances and you have options to allow half day, allow compensation, auto approve, require document, allow negative balance options and set accruals and carryovers.
How can you set a new location and how to use it?
To set up a new location in the Pro version, go to the “Locations and holidays” in the company settings, then click “Add new location” and name your new location, choose your country, time zone, assign your pre-set policy, pick your working days. If you saved your location you can edit it to add official holidays if needed.
How can I disable a leave type?
You can go to the used leave policy and go to the edit page and simply toggle off the leave type you want to disable or you can go to the leave types settings where you can disable it in all leave policies.
Can I set up different official holidays in different locations?
Yes, you can go to each location you have on Day Off from company settings, and go to the official holidays tab and import them from google calendar or you can add them manually.
can I control what employees can view in their dashboard calendar?
You have the ability to manage what employees see on their dashboard by selecting from four options in the calendar setting:
- Employees and subordinates: This allows employees to see only their own approved requests.
- Team members
- Locations
- All company: This option enables all employees to view each other’s approved requests.
How can I set up different working days for different locations?
You can go to the location and holidays from company settings and you can find the working days in the general information tab.
How can I set accruals?
Go to the leave policy in the company settings then edit the leave type you want it accrued in the leave policy you are using. Once you do, toggle on the accruals option and set your accrual type and accrual day.
How can you allow carryover?
Go to the leave policy in the company settings then edit the leave type you want to allow its remainder balance rolled over in the leave policy you are using. Once you do, toggle on the carry over option and set the carried over amount and expiry date.
When does my balance reset?
Open Settings of the company, click on Reset balance, you will be able to choose any month of the year to be the annual balance reset month, and if you want to allow employees’ balance to reset on their anniversaries option.
Can I let the employee's balance be reset on their anniversary date?
Yes, go to the rest balance in the company settings and toggle on the allow employee’s balance to be reset on their anniversary of joining the company. After that, go to the employee’s profile and toggle on the Reset balance every anniversary option and make sure you added a joining date for the employee in question.
How can I bulk assign multiple employees to a team or a location in one go?
You can check the checkboxes beside each employee in the employees’ page, then click assign to team or location and then review the policy change and simply confirm the change.
Can I check all the employee’s carried over balance?
Yes, you can find that in Reports through the carry over report that is created in the Pro version.
Can I check all the employee’s accrued balance?
Yes, you can find that in Reports through the accrual report that is created in the Pro version.
Can I have a leave type with no balance?
Yes, you can have a leave type with unlimited balance. Just go to the leave policies’ settings in the company settings where can edit the leave type in question and find the “Has no balance” option.
What does it mean to allow compensation off in a leave type?
It means that the employee can increase their earned balance, for example they can request compensation to work on an official holiday or weekend and later on they can request that increased balance as a day off !
Can employees request days off by negative balance?
Yes, you can allow the negative balance option if you go to the used leave policy settings and edit the leave type in question.
Can I let the system auto approve requests without approvers interfering?
Yes, you can allow leave requests to be auto approved by the system option if you go to the used leave policy settings and edit the leave type in question.
What can I do if approvers did not respond to a leave request?
If the approvers failed to respond to a pending request of an employee, if you have admin privileges you can go to the request details and find the force accept or force reject from the gear icon on the top right.
How can I update the company profile?
Click on the profile icon of the company profile and find the company profile option, where you can update the company name, email address and country.
What are the available integrations?
Day Off provides integration with

4. Integration with Microsoft Teams will be available soon on the platform.
How can I check the billing?
Click on the profile icon of the company profile and find the billing option, where you can upgrade your account to the Pro version or update your billing details or check your invoices.
How can I delete my account/company?
Click on the profile icon of the company profile and find the company profile option then find the delete company account option.
How to unsubscribe from Pro plan?
You can go to billing and simply switch to the free plan.
What would happen to my data if I didn’t pay for the Pro plan?
All your data will remain the same until you pay your invoice.
What would happen if I switched my account from pro to free?
All your data will remain the same and nothing will change except that all pro features will be turned off.
How to delete all my accounts and all my data from Day Off?
You can request to delete all your data from our systems from our Day Off support team.
Where is my data stored?
Your data is stored in our servers that are located in Germany with very strict security policies and backup solutions.
Employee
To join your team, the HR manager in your team must send you an invitation to join, you will receive an invitation email with an access code, open the app, choose “Log in”, enter your email and press continue, you will be asked to enter the received access code and to set your password. Then you can complete your profile data such as your picture and phone number, just save your data and you can now send leaves requests easily.
You can view your used balance from the middle section of the app.
If you are an admin, you can simply go to “My Dashboard” page, on the right side you can check all your balances
If you are an employee, you can check your balance from the right side of the dashboard
You can scroll down in the dashboard page to your leave requests or on the mobile app you can go to your profile and click on the “Balance” tab and check all your previous requests.
Compensation Off is used to request extra balance to be added to your existing balance. For example if you worked on a weekend or on an official holiday, you can request compensation balance for the overtime you worked as an extra day to use for later.
You can edit a leave request as long as its status is still pending. If it’s approved, you need to ask your company admin to edit/delete it for you.
Click on the profile icon of your account and find the option where you can change your password or ask your company admin to generate a new password for you from their side.
Click on the profile icon of your account and find My account option where you can check your account details
This means that your account is tied to another company or that you have created a separate company profile with your email which means you haven’t registered correctly. In order to resolve this:
- If you registered as a company, you can access your account and go to the company profile and delete the account and ask your company admin to send you an invitation by email to register again with your company.
- If you are registered with a different company by mistake, you can either request to be deleted from the wrong company or you can contact the Day Off support to take care of it for you and then ask your company admin to send you an invitation by email to register again with your company.
